- PARENT REPRESENTATIVES | Frensham Heights
Frensham Heights Parent Voice is different from a PTA or traditional Parents Committee. Parent Voice is a team of elected parent volunteers dedicated to help support new and existing parents and collaborate with the school in an innovative and productive format. OUR PARENT REPRESENTATIVES PARENT REPRESENTATIVES Parent Year Representatives (Reps) are volunteer parents who play a key role in creating a welcoming, inclusive and vibrant parent community at Frensham Heights. Each year group has its own rep who is a friendly point of contact and helps parents stay informed, feel welcomed and connected to school life. They share useful information and reminders, support new families as they join the school, and help bring parents together through informal socials and events. They also play a wider role in supporting the school community, working collaboratively with staff, other Year Reps and Friends of Frensham, and occasionally helping to welcome prospective families at events such as open days. Parent Year Reps are an important link between families and the school, helping to ensure that every parent feels informed, supported and part of the community.

TEDxFRENSHAM A Celebration of Ideas. 2022: HUMAN TOGETHER 2018: THE FUTURE IS BRIGHT TEDxFrensham 2022 Human Together: Celebrating the Kaleidoscope On Saturday 30th April 2022, we held our second TEDxFrensham event. Speakers were chosen to represent areas of society, culture, education and science that could benefit from diversity of thought and humanity. The event presented multiple issues and a diversity of voices sharing stories to challenge and shape our thinking as a strong community that can make a difference in the world, through our collective humanity. 2022 2022 Speakers Alexia Quin OBE Alexia Quin is the director and founder of Music as Therapy International, a charity aiming to make music an integral part of care for vulnerable people worldwide. She is Founder of dancemama.org - a community, information and professional development hub and platform profiling significant parents in dance and the arts. WATCH MILL'S TALK Matt + Fiona MATT+FIONA is a collaborative venture between architect Matthew Springett and educator Fiona MacDonald which responds to the question - how many young people look around them and feel that they have a say in what they see? We ask young people how their built environment might be improved and empower them to bring that vision to life. WATCH MATT + FIONA'S TALK Rachel Morris Rachel is a Paralympic champion in both rowing and handcycling. She is developing programmes to enable those with mental health challenges, special educational needs or disabilities to get support through sport. WATCH RACHEL'S TALK Richard Coope A digital leader with 25 years of experience, Richard has been a Digital Director in 5 of the UK's largest independent agencies and runs his own digital consultancy, called Brightful. WATCH RICHARD'S TALK Steven Frank Steven Frank was born in 1935 into a secular Jewish family in Amsterdam. With the outbreak of the war the family decided to remain in Holland. Steven’s father joined the Dutch resistance and helped many people escape but in 1942 he was betrayed and sent to Auschwitz where he was gassed. Steven and his mother and brother were taken to Barneveld and then Westerbork. In September 1944 they were sent to Theresienstadt where the whole family miraculously survived. From scientific innovation to social impact, from education to equality, each talk reinforced a shared belief that the future shines brightest when we lead with humanity. 2018 Andrew Fisher Andrew Fisher, former Headmaster of a progressive independent school, asks us to challenge the politicising of education. Why do we accept the constant assessing of our children? Why do we deny it is damaging them? Instead, we blame the increase in anxiety and mental health problems on their lack of robustness and grit. WATCH ANDREW'S TALK Charlie Mackesy Through his passion for drawing, artist Charlie Mackesy challenges us to abandon the idea of being good. Instead have the courage to draw, sing, play from your heart, from your emotions. And if we do this together, we build connections, we start communicating, we start belonging, we start to have a community. WATCH CHARLIE'S TALK I Speak Music Music educator and composer Jim Pinchen, viola player Raghad Haddad and the I Speak Music Orchestra come together to show us that through rhythm and music we can break down barriers of politics, language and culture and create something unique and magical: a community. A team of talented and enthusiastic professional musicians and supporters working with vulnerable and ‘newly arrived’ young people. WATCH I SPEAK MUSIC'S PERFORMANCE James Christian Architect James Christian shares his forward-thinking design process, touching on user-centred design and design for children's mental health facilities. Working under the ethos of ‘fantastic pragmatism’, Projects Office embrace user engagement, storytelling and the use of narrative to create environments anchored in their unique social and cultural contexts. WATCH JAMES'S TALK Laura Kischel Cognitive neuroscientist Laura Kischkel is working to overcome cultural differences and environmental difficulties to take the latest neuroscientific technology to rural Africa to gain an insight into how we can strengthen infant brain development in The Gambia and other low resource areas. Laura's interest lies in understanding how human cognition first develops during infancy and early childhood. WATCH LAURA'S TALK Shafina Vohra During her early experiences in teaching, PhD candidate and Psychology teacher Shafina Vohra found herself with a room full of students bored by science. Rather than plodding through the textbook, she took a risk and got them using their hands, learning with their hands. This made her realise the power of hands-on learning. WATCH SHAFINA'S TALK Tom Doust Educator and social innovator Tom Doust shows us the importance and power of mind-wandering. The best ideas come when we allow our minds to wander. Our imagination grows stronger allowing us to be more resilient and responsive to the rapidly changing world. A social innovator, Tom Doust has spent his 16 year career designing and delivering creative multi-stakeholder programmes with children, young people, families, schools and communities across the education, design and cultural sectors. This Privacy Notice applies to the School and its trading subsidiary Frensham Heights Enterprises Limited. THE PURPOSE OF THIS POLICY This policy is intended to provide information about how the School will use (or “process”) personal data about individuals including: its staff; its current, past and prospective pupils; and their parents, carers or guardians (referred to in this policy as “parents”). The School expects that the following uses may fall within that category of its (or its community’s) “ legitimate interests ”: For the purposes of pupil selection (and to confirm the identity of prospective pupils and their parents); To provide education services, including musical education, physical training or spiritual development, career services, and extra – curricular activities to pupils, and monitoring pupils’ progress and educational needs; Maintaining relationships with alumni and the School community, including direct marketing or fundraising activity; For the purposes of donor due diligence, and to confirm the identity of prospective donors and their bac kground and relevant interests; For the purposes of management planning and forecasting, research and statistical analysis, including that imposed or provided for by law (such as diversity or gender pay gap analysis and taxation records); To enable relevant authorities to monitor the School‘s performance and to intervene or assist with incidents as appropriate; To give and receive information and references about past, current and prospective pupils, including relating to outstanding fees or payment history, to/from any educational institution that the pupil attended or where it is proposed they attend; and to provide references to potential employers of past pupils; To give and receive information and references about past, current and prospective members of staff To enable pupils to take part in national or other assessments, and to publish the results of public examinations or other achievements of pupils of the School ; To safeguard pupils’ welfare and provide appropriate pastoral care; To monitor (as appropriate) use of the School‘s IT and communications systems in accordance with the School‘s acceptable use of IT policy; To make use of photographic images of pupils in School publications, on the School website and (where appropriate) on the School‘s social media channels in accordance with the School‘s policy on taking, storing and using images of students ; For security purposes, including CCTV in accordance with the School’s CCTV policy; and Where otherwise reasonably necessary for the School ‘s purposes, including to obtain appropriate professional advice and insurance for the School. While covering the large majority of uses, the above list is not exhaustive and from time to time other uses may also be included as legitimate interests. In addition, the School may need to process special category personal data (concerning health, ethnicity, religion, biometrics or sexual life) or criminal records information (such as when carrying out DBS checks) in accordance with rights or duties imposed on it by law, including as regards safeguarding and employment, or from time to time by explicit consent where required. These reasons may include: To safeguard pupils’ welfare and provide appropriate pastoral (and where necessary, medical) care, and to take appropriate action in the event of an emergency, incident or accident, including by disclosing details of an individual’s medical condition where it is in the individual‘s interests to do so: for example for medical advice, social services, insurance purposes or to organisers of School trips; To provide educational services in the context of any special educational needs of a pupil; In connection with employment of its staff, for example DBS checks, welfare or pension plans ; To run any of its systems that operate on biometric data, such as for security and other forms of pupil identification (lockers, lunch etc.); or For legal and regulatory purposes (for example child protection, diversity monitoring and health and safety) and to comply with its legal obligations and duties of care. TYPES OF PERSONAL DATA PROCESSED BY THE SCHOOL This will include by way of example: names, addresses, telephone numbers, email addresses and other contact details; car details (about those who use our car parking facilities); bank details and other financial information, e.g. about parents who pay fees to the School ; past, present and prospective pupils’ academic, disciplinary, admissions and attendance records (including information about any special needs), and examination scripts and marks; where appropriate, information about individuals’ health, and contact details for their next of kin; references given or received by the School about pu pils, and information provided by previous educational establishments and/or other professionals or organisations working with pupils; and images of pupils (and occasionally other individuals) engaging in School activities (in accordance with the School‘s policy on taking, storing and using images of students ). HOW THE SCHOOL COLLECTS DATA Generally, the School receives personal data from the individual directly (including, in the case of pupils, from their parents). This may be via a form, or simply in the ordinary course of interaction or communication (such as email or written assessments). However in some cases personal data may be supplied by third parties (for example another School, or other professionals or authorities working with that individual); or collected from publicly available resources such as websites. WHO HAS ACCESS TO PERSONAL DATA AND WHO THE SCHOOL SHARES IT WITH The School will need to share some personal information relating to its community with third parties, such as professional advisers (e.g. lawyers and accountants), relevant authorities ( e.g. HMRC, police, medical agencies or the local authority) and commercial partners (e.g. caterers, travel and transport companies). For the most part, personal data collected by the School will remain within the School and will be processed by appropriate individuals only in accordance with access protocols (i.e. on a ‘need to know’ basis). Particularly strict rules of access apply in the context of: medical records, held and accessed only by the School’s nurses and partnership doctors under the supervision of the School’s senior nurse; and pastoral or safeguarding files ; financial information submitted under bursary applications. However, a certain amount of any SEN pupil’s relevant information will need to be provided to staff more widely in the context of providing the necessary care and education that the pupil requires. Staff, pupils and parents are reminded that the School is under duties imposed by law and statutory guidance (including Keeping Children Safe in Education) to record or report incidents and concerns that arise or are reported to it, in some cases regardless of whether they are proven, if they meet a certain threshold of seriousness in their nature or regularity. This may include file notes on personnel or safeguarding files, and in some cases referrals to relevant authorities such as the LADO or police. For further information about this, please view the School’s Safeguarding Policy. Finally, in accordance with Data Protection Law, some of the School’s processing activity is carried out on its behalf by third parties, such as IT systems, web developers or cloud storage providers. This is always subject to contractual assurances that personal data will be kept securely and only in accordance with the School’s specific directions. HOW LONG WE KEEP PERSONAL DATA The School will retain personal data securely and only in line with how long it is necessary to keep for a legitimate and lawful reason. Typically, the legal recommendation for how long to keep ordinary staff and pupil personnel files is up to 7 years following departure from the School. However, incident reports and safeguarding files will need to be kept much longer, in accordance with specific legal requirements. If you have any specific queries about how this policy is applied, or wish to request that personal data that you no longer believe to be relevant is considered for erasure, please contact the Bursar, whose contact details are above. However, please bear in mind that the School may have lawful and necessary reasons to hold on to some data. The School’s Retention of Records Guidelines gives details of the retention of different records; staff can access this on–line, others can request a copy from the Bursar. KEEPING IN TOUCH AND SUPPORTING THE SCHOOL The School will use the contact details of parents, alumni and other members of the School community to keep them updated about the activities of the School, or alumni and parent events of interest, including by sending updates and newsletters, by email and by post. Unless the relevant individual objects, the School may also: Share personal data about parents and/or alumni, as appropriate, with organisations set up to help establish and maintain relationships with the School community, such as the Old Frenshamian (OF) organisation and Friends of Frensham (FOF) ; Contact parents and/or alumni (including via the organisations above) by post and email in order to promote and raise funds for the School and, where appropriate, other worthy causes; Collect information from publicly available sources about parents’ and former pupils’ occupation and activities, for monitoring and marketing purposes; Should you wish to limit or object to any such use, or would like further information about them, please contact the Bursar in writing. You always have the right to withdraw consent, where given, or otherwise object to direct marketing or fundraising. However, the School may need nonetheless to retain some of your details (not least to ensure that no more communications are sent to that particular address, email or telephone number). YOUR RIGHTS Individuals have various rights under Data Protection Law to access and understand personal data about them held by the School, and in some cases ask for it to be erased or amended or for the School to stop processing it, but subject to certain exemptions and limitations. Any individual wishing to access or amend their personal data, or wishing it to be transferred to another person or organisation, or who has some other objection to how their personal data is used, should put their request in writing to the Bursar. The School will endeavour to respond to any such written requests as soon as is reasonably practicable and in any event within statutory time–limits, which is one month in the case of requests for access to information. The School will be better able to respond quickly to smaller, targeted requests for information. If the request is manifestly excessive or similar to previous requests, the School may ask you to reconsider or charge a proportionate fee, but only where Data Protection Law allows it. You should be aware that certain data is exempt from the right of access. This may include information which identifies other individuals, or information which is subject to legal professional privilege. The School is also not required to disclose any pupil examination scripts (though examine rs’ comments may fall to be disclosed), nor any confidential reference given by the School for the purposes of the education, training or employment of any individual. PUPIL REQUESTS Pupils can make subject access requests for their own personal data, provided that, in the reasonable opinion of the School, they have sufficient maturity to understand the request they are making (see section Whose Rights below). Indeed, while a person with parental responsibility will generally be entitled to make a subject access request on behalf of younger pupils, the information in question is always considered to be the child’s at law. A pupil of any age may ask a parent or other representative to make a subject access request on his/her behalf. Moreover (if of sufficient age) their consent or authority may need to be sought by the parent making such a request. Pupils at Frensham Heights aged 13 and above are generally assumed to have this level of maturity, although this will depend on both the child and the personal data requested, including any relevant circumstances at home. Slightly younger children may also sufficiently mature to have a say in this decision. All information requests from, or on behalf of, pupils – whether made under subject access or simply as an incidental request – will therefore be considered on a case by case basis. CONSENT Where the School is relying on consent as a means to process personal data, any person may withdraw this consent at any time (subject to similar age considerations as above). Please be aware however that the School may have another lawful reason to process the personal data in question even without your consent. That reason will usually have been asserted under this Privacy Notice, or may otherwise exist under some form of contract or agreement with the individual (e.g. an employment or parent contract, or because a purchase of goods, services or membership of an organisation such as OF or FOF has been requested). WHOSE RIGHTS The rights under Data Protection Law belong to the individual to whom the data relates. However, the School will often rely on parental consent to process personal data relating to pupils (if consent is required) unless, given the nature of the processing in question, and the pupil’s age and understanding, it is more appropriate to rely on the pupil’s consent. Parents should be aware that in such situations they may not be consulted, depending on the interests of the child, the parents’ rights at law or under their contract, and all the circumstances. In general, the School will assume that pupils’ consent is not required for ordinary disclosure of their personal data to their parents, e.g. for the purposes of keeping parents informed about the pupil’s activities, progress and behaviour, and in the interests of the pupil’s welfare, unless, in the School‘s opinion, there is a good reason to do otherwise. However, where a pupil seeks to raise concerns confidentially with a member of staff and expressly withholds their agreement to their personal data being disclosed to their parents, the School may be under an obligation to maintain confidentiality unless, in the School‘s opinion, there is a good reason to do otherwise; for example where the School believes disclosure will be in the best interests of the pupil or other pupils, or if required by law. Pupils are required to respect the personal data and privacy of others, and to comply with the School rules and the School‘s current and future IT policies, including its policies on Acceptable Use of IT and Use of IT Technology. DATA ACCURACY AND SECURITY The School will endeavour to ensure that all personal data held in relation to an individual is as up to date and accurate as possible. Individuals must please notify the Bursar of any significant changes to important information, such as contact details, held about them. An individual has the right to request that any out–of–date, irrelevant or inaccurate or information about them is erased or corrected (subject to certain exemptions and limitations under Data Protection Law): please see above for details of why the School may need to process your data, of who you may contact if you disagree. The School will take appropriate technical and organisational steps to ensure the security of personal data about individuals, including policies around use of technology and devices, and access to School systems. We have one class per year group from Nursery up to Year 3 with small numbers to ensure individual attention. This splits into two classes per year group in Years 4, 5 and 6 with up to 18 per class. In Years 7 and 8, there are usually three tutor groups per year with 16 or 18 students in each. In Year 9, there are four tutor groups. The GCSE and A Level class sizes vary depending on the popularity of student subject choices. 02 What clothes can students wear? We don’t have a uniform, we just ask our students to dress for purpose. Students are free to express their individuality through their clothes as long as it doesn’t interfere with their school day or cause any distraction or offence. Please also ensure that your child has sensible footwear, including waterproof or walking boots and everyday shoes. 03 Can students have bicycles on site? Yes, from Year 7 – please make sure it is insured and in good working order with a strong lock. All students who have a bicycle at school are asked to sign a Bike Contract, which states the basic expectations on safe and considerate use of bicycles in and around school. Apart from those in the Sixth Form, all students need to wear a bicycle helmet. 04 Can students bring medication to school? All medications, including over-the-counter medications, must be handed to the Health Centre on arrival for safe keeping. 05 Do students need a school bag and stationery? Yes, please make sure the bag is suitable for students to carry their books around our vast site. Please also bring a pencil case, pencils, pens, erasers, colouring pencils, etc. It's a good idea to name all personal items. 06 What proportion of students board? We offer boarding from Year 7 upwards - roughly 25% of the students board either as full, weekly or flexi 3 day boarders. Where we have space, students are welcome for an 'occasional night' boarding as well. This should be booked with the boarding house. During the school week there is no differentiation between day and boarding students. 07 How do you handle discipline? Our disciplinary measures are based on mutual respect and self-discipline. We use discussion rather than detention and set targets for changes in behaviour. Depending on the nature of the situation, discussions will occur between the student/s and their teacher or with the Head of School, Deputy Head or Head and if the situation escalates disciplinary sanctions may be used. Aggressive language, shouting and detentions are not used by any staff at Frensham. 08 Can my child take part in competitive sports? We have over 450 sporting fixtures each year for students who love competitive games. If you want your children to love sport, love going to matches and know how to win or lose well, then that’s what they’ll get here. As well as the main sports, we also offer mountain biking, high ropes, surfing trips, hill walking, rock climbing. At the end of the day, our goal is for students to be fit and healthy. A message from the Director of Support for Learning If your child has had a previous or current specialist teacher, speech and language therapist or occupational therapist’s report, can you please ensure that we have this information in the Support for Learning Department. Equally, I would be grateful if you could please send in a copy of any Educational Psychologist’s report that you may have for your child. This busy environment has a full-time librarian and is found in a light and airy skylit, recently refurbished gable space of Flottage. The reading club meets here weekly and the rooms are frequently used for teaching. The walls are lined with nearly 14,000 books, magazines and DVD’s, with a strong bias towards Young Adult Fiction. There are also digital resources and ebooks available. Visitors can sink in to the leather armchairs or sofa or make use of the seating/workspace for 34, including networked workstations. Wifi is available throughout. You will receive an email from our admissions team detailing your arrival times for the start of term in September. Please don’t hesitate to contact the boarding teams if your child is likely to arrive earlier or later than listed – mainly so that we know when to expect you and make sure there is someone on duty to welcome you. 02 Who can we contact during the school holidays? The boarding teams will all be checking their emails periodically over the school holidays so you can email them directly, but if your query needs to be answered more urgently, please copy in our admissions team at admissions@frensham.org as they may be able to help you in the meantime. Please ensure that the Head of House is aware of your child’s flight and their plans from when they enter the country to when they arrive at school. School bedding and towels are provided but your child is welcome to bring their own towels, duvet cover and pillowcase (duvets are single in size). Please make sure that all personal and valuable items, including all clothing, laundry bag and shoes, are clearly named. 05 Can boarders decorate their rooms? Yes, students can decorate their rooms, so they are welcome to bring posters, battery-operated fairy lights, photographs etc. All boarders have their own noticeboard so don’t forget to bring pins and white tac (not blue tac please). 06 What essentials do boarders need to bring? Please bring: sensible, comfortable clothing, pyjamas, dressing gown and slippers, a smart outfit to wear to the Christmas Dinner Dance, a warm, waterproof coat suitable for all winter weather, a named laundry bag, named PE, swimming, Outdoor Ed and dance kit (see our Essential Kit section), any kit you've been asked to bring for camps and venture days, two number padlocks for a cupboard used to store valuables, chargers for phone, tablet, laptop etc a supply of usual toiletries (eg shampoo, soap etc), stationery - pencil case, pencils, pens, erasers, colouring pencils, etc, a school bag suitable for students to carry their books to and from school, a small amount of snacks, which should be stored in a sealed container. 07 Can boarders keep medication in the boarding houses? No, all medications, including over-the-counter medications, must be handed to the Health Centre or house staff for safe keeping. 08 Can boarders do their own laundry? Yes, each boarding house has its own laundry area as some students prefer to wash their own clothes rather than using the school laundry, but they will need to bring their own washing tablets. 09 Can boarders have pocket money? Yes, it is a good idea for your child to have access to a sensible amount of money to cover their individual requirements during term. 10 What forms should we have filled in? The Boarders’ Weekend is held on the first weekend of term: from Friday evening through to Sunday. We do expect all boarders, current and new, to remain in school for this weekend as it has proved an excellent way to help children settle in, make friends and get used to their surroundings. Get ready to sing, paint and play! Our new Stay and Play discovery sessions have launched! Are you looking for a fun and engaging way to spend time with your little one? Look no further! We are thrilled to announce the launch of our brand-new weekly Stay and Play creative discovery sessions, designed for children aged 2 to 4 and their parents or carers. We'll be opening our doors on alternate Tuesday and Fridays for a morning/afternoon of creative fun. Each session will be packed with exciting activities, including: Musical Adventures: Get ready to sing your heart out, dance to catchy tunes, and explore different instruments. It’s a great way for little ones to develop their rhythm, coordination, and love of music. Arty Antics: Time to get messy (in a good way!). We’ll be exploring all sorts of art materials, from paint and crayons to playdough and collage. It’s a fantastic opportunity for children to express their creativity and develop their fine motor skills." Tuesday afternoons are MUSIC discovery sessions and Friday mornings are ART discovery sessions SESSIONS ARE FREE BUT BOOKING IS ESSENTIAL. FREE PARKING ON SITE!
